Deep archive hall lined with dense drawer cabinets

Applications · Public Sector · Courts & Legal Records

Evidence-grade storage for case files and exhibits.

A court file is not an archive box — it is a legal object. From intake to certified disposal, every movement must be logged, every access attributable, every seal intact. Shengmei smart compact shelving is built to produce that record automatically.

Chain of custody

Four movements, four documents.

Custody is only as strong as its weakest signature. Each stage below generates the record that closes it — the same set a registrar files against the case number.

01

Intake

Case files and sealed exhibits are booked into the system against the case number, with the exhibit seal photographed and recorded.

02

Indexed storage

Files are shelved to a mapped bay — the terminal knows which bay holds which case before anyone walks the aisle.

03

Controlled access

Every retrieval authenticates the operator and logs the file, the bay and the time. Sealed holdings need dual control.

Access log

04

Certified disposal

Expired files are retrieved, destroyed and the destruction certificate filed — the bay is then released for reuse.

Evidence specification

What the registrar will ask you to prove.

Integrity

Tamper-evident locking

Sealed bays lock against casual opening; any interference is visible at inspection and recorded by the terminal’s event log.

Attribution

Named access, every time

Password, fingerprint or card authentication per operator — no shared credentials, no anonymous aisles.

Continuity

Sealed-hold dual control

Two authorised operators for vault-tier bays; the log records both identities for every opening.

Handover package

What the registrar receives on acceptance day.

The installation is not finished when the last bay rolls on its track — it is finished when this documentation set is signed for.

As-built bay map keyed to case-number ranges

Bay configuration

Four bay types, one continuous run.

A court archive is not one uniform run of shelving. The proposal splits the run into bay types so each holding class gets the access rule it legally requires.

Bay type Typical fit-out Access rule Locking
Case file bays 4-tier shelving for archive boxes and bound volumes Registrar and clerk pool Standard lock, every opening logged
Evidence bays Sealed-box shelving with item trays per exhibit Named evidence officers only Per-bay lock, seal state recorded
Sealed vault bays Restricted holdings, tamper-evident sealing Two authorised operators together Dual credential, countersigned in the log
