Every folder carries a chip. Nothing gets lost.
Shengmei RFID archive management is the key building block of the smart archive room: a tag on every archive box and bag enables accurate positioning, real-time query and one-tap borrow & return registration — room-wide.
The key component of the smart archive room.
The RFID archive management system is built on RFID — radio-frequency identification — technology. Every archive box and archive bag carries a small RFID tag, and that single change makes the whole collection addressable: files can be precisely located, queried in real time, and checked in or out with a registration step that takes seconds instead of minutes.
Scan the tag. Match the database. Done.
Each tag stores one unique archive identification code. When a file needs to be found or borrowed, an RFID reader scans the tag, the system matches the code against the database, and the file’s full details — title, owner, loan status — appear together with its exact storage position. The entire locate-and-register flow is reduced to a single scan.
Four steps from label to full accountability.
The same loop runs on every archive in the room — new accessions in, loans out, returns back — all logged automatically.
Tag
Every folder receives an RFID tag; every shelf layer and bay gets a location tag printed from the same batch.
Register
The in-shelf terminal reads the batch and binds each folder to its exact bay, layer and position in the database.
Track
Every read — access, loan, return, roaming scan — updates the map in real time, visible on the room dashboard.
Audit
One handheld sweep re-inventories the whole room and flags anything missing, mis-shelved or overdue.
Every box carries its own identity.
On the shelf, the system is already at work: each black archive box wears a printed RFID label with a blue position dot, readable through the box wall without opening it — so identification never depends on someone reading a handwritten spine.
Built around the daily archive routine.
Six functions that replace the ledger, the ladder and the annual stock-take headache.
Real-time positioning
The dashboard shows which bay and layer every folder sits on — no spreadsheets, no guesswork.
Batch inventory
A handheld sweep reads hundreds of tags per minute and reconciles the whole room against the database.
Borrow & return
Card-tap checkout records who took what and when; return mode guides the folder back to its exact slot.
Missing-file alarm
If a tagged folder is removed without checkout, the terminal flags it instantly and logs the event.
Layer-level mapping
Location tags bind positions to the layer, so densely packed shelves stay fully addressable.
Roaming handheld scan
The cordless collector reads tags through shelf fronts — spot-check any aisle in seconds.
Three devices run the whole loop.
The RFID kit is factory-fitted on Shengmei smart shelving and commissioned with the room — no third-party integration work for your IT team.
In-shelf terminal
Wall-mounted touch console per section: search, open aisle, borrow, return and alarm acknowledgement.
Layer location tags
Printed RFID labels for folders, layers and bays keep the shelf map accurate even after reorganisation.
Handheld collector
Cordless RFID reader for batch inventory, spot checks and off-site transfer verification.
